The short answer: monday.com works well for HR and recruiting teams that need to organise hiring pipelines, onboarding checklists, employee requests and HR projects in one visual workspace, especially at smaller companies hiring a few roles at a time. It is not an applicant tracking system or an HRIS: it does not post jobs to job boards, parse resumes, run compliance reporting, or hold payroll, benefits and leave balances. Once hiring volume or compliance needs grow, an ATS such as Greenhouse or Workable and an HRIS such as BambooHR or Rippling fit better.
This guide is for HR managers, people operations leads and in-house recruiters weighing monday.com for people workflows. It covers what monday.com handles well, where an ATS or HRIS is the better tool, a setup you can copy, and how to handle sensitive employee data. For the dedicated categories, see our guides to the best applicant tracking systems and the best HRIS systems.
Is monday.com a good fit for HR and recruiting?
For HR operations, often yes. Onboarding, offboarding, employee requests, policy updates, performance cycles and HR projects are all checklists and pipelines with owners and deadlines, and monday.com runs them well with forms, automations and dashboards. For HR systems of record (candidates at volume, employee records, payroll, benefits, time off), a dedicated tool is safer and does more.
- Choose monday.com if you hire a handful of roles at a time, want hiring managers to see candidates on a simple board, and need onboarding and employee requests coordinated across HR, IT, finance and managers.
- Choose an ATS (Greenhouse, Workable) if you hire continuously, need job board distribution, a careers page, resume parsing, structured interview kits, scorecards and compliance reporting.
- Choose an HRIS (BambooHR, Rippling) if you need a system of record for employees, with time off, benefits, payroll links, documents and self-service. Our HRIS explainer covers what that includes.
What monday.com covers for HR, and where an ATS or HRIS fits better
| HR need | monday.com | Better fit when you need more |
|---|---|---|
| Hiring pipeline for a few roles | Good: a candidate board with stages, interviewers and feedback | An ATS once volume grows |
| Job posting and careers page | Application forms only | ATS job board distribution and branded careers pages |
| Resume parsing, scorecards, interview scheduling | Manual, or via integrations | ATS (Greenhouse, Workable) |
| Hiring compliance reporting | Not covered | ATS with compliance and audit reports |
| Employee onboarding and offboarding | Strong: templated checklists across HR, IT, finance and managers | HRIS onboarding for e-signatures and employee self-service |
| Employee requests and HR tickets | Strong: forms into a request board with routing | HR help desk tools at large scale |
| Employee records, payroll, benefits, time off | Not a system of record | HRIS (BambooHR, Rippling) |
| Performance cycles and HR projects | Good: timelines, owners and reminders | Performance management software for reviews and goals |
monday.com is the coordination layer: it gets work done across people and departments. ATS and HRIS products are systems of record: they hold the legally and financially important data. Many companies use monday.com for onboarding and HR projects while candidate and employee records stay in dedicated tools.
How to set up monday.com for HR and recruiting
The structure below suits HR teams at companies with roughly 20 to 300 employees. It uses standard monday.com boards, forms, automations, dashboards and integrations, and monday.com offers recruitment and onboarding templates you can start from.
1. Open roles board
One item per open role, with columns for hiring manager, department, target start date, approval status, salary band (keep this on a private board if needed) and a link to the role’s candidate board. Automation: when status changes to Approved, notify the recruiter and create the candidate board from a template.
2. Candidate pipeline board
Groups for each stage: Applied, Screen, Interview, Final interview, Offer, Hired, Not moving forward. Columns: role, source, recruiter, interviewers (people column), next step date, CV (files), and rating. An application form can create items directly. Automations:
- When a candidate moves to Interview, notify the assigned interviewers.
- When the next step date passes with no status change, remind the recruiter.
- When status changes to Hired, create an item on the onboarding board.
This works well at low volume. If you are moving hundreds of applicants through a role, need structured scorecards or must report on hiring compliance, the manual effort quickly exceeds the cost of an ATS; our ATS setup guide shows what that switch involves.
3. Onboarding board
One item per new hire, with subitems for every task: contract signed, equipment ordered, accounts created, payroll set up, first-week schedule, buddy assigned, 30-day check-in. Each subitem has an owner in the right department (IT, finance, the manager) and a due date relative to the start date. Automations notify each owner when their task is due. A dashboard shows every upcoming start and any overdue tasks.
4. Employee requests board
A form for common requests (letters, policy questions, equipment, data changes) creates items routed by request type. Status changes notify the employee when the request is complete. Keep requests that involve health, pay or disciplinary matters out of shared boards.
5. HR projects and calendar
Use a projects board with a timeline view for recurring cycles such as performance reviews, engagement surveys, benefits enrolment and policy updates, so leadership can see what HR is running and when.
6. Integrations
Common connections are Gmail or Outlook and Google Calendar for interview coordination, Slack or Microsoft Teams for notifications, DocuSign for offers and contracts, and Zoom for interviews. ATS and HRIS tools without a native connector are usually linked with Zapier, Make or the monday.com API, for example creating an onboarding item when a candidate is marked hired in your ATS.
Handling sensitive employee data in monday.com
HR data is sensitive, so set up access before you put people data into any board:
- Private boards (Pro plan) restrict a board to named members. Use them for candidate pipelines, salary data and anything personal.
- Keep the minimum. Store what the workflow needs (name, role, start date, status) and keep the rest in your ATS or HRIS.
- Permissions and audit: Enterprise adds advanced permissions and security controls. Larger companies should review monday.com’s security, compliance and data residency documentation with IT and legal.
- Retention: agree how long candidate data stays on boards and archive or delete it on schedule to meet your privacy obligations.
How monday.com pricing works for HR teams
monday.com work management has five plans: Free, Basic, Standard, Pro and Enterprise. Paid plans are priced per seat and sold in seat bundles with a 3-seat minimum. At the time of writing (September 2026), monday.com listed Basic at $9, Standard at $12 and Pro at $19 per seat per month billed annually, with Enterprise by quote; check current pricing. HR teams usually need Pro, because private boards matter for people data, and Standard is the minimum for automations and integrations. Hiring managers who only review candidates may not need full seats; check how viewers and guests work on your plan. The full breakdown is on our monday.com pricing page, and our HR software for small business guide covers what dedicated HR tools cost.

Frequently asked questions
Can monday.com be used as an applicant tracking system?
For low-volume hiring, yes: a candidate board with stages, interviewers and automations works for a few roles at a time. It lacks job board posting, resume parsing, scorecards and compliance reporting, so teams hiring continuously usually move to an ATS.
Is monday.com an HRIS?
No. It does not store payroll, benefits or time-off balances or provide employee self-service. Use an HRIS such as BambooHR or Rippling as the system of record, and monday.com for onboarding checklists and HR projects.
How do HR teams use monday.com for onboarding?
Each new hire becomes an item, created automatically when a candidate is marked hired. Subitems cover every task across HR, IT, finance and the manager, each with an owner and due date, and automations remind owners as tasks fall due.
Which monday.com plan is best for HR?
Usually Pro, because private boards keep candidate and employee data restricted to named people. Standard covers automations and integrations but not private boards.
Can monday.com connect to our ATS or HRIS?
Often, through a native integration where one exists or through Zapier, Make or the monday.com API. A common pattern is: ATS marks a candidate hired, an onboarding item is created in monday.com, and HR finishes the tasks there.
When should we move hiring out of monday.com into an ATS?
- You have more open roles or applicants than one recruiter can track by hand.
- You need job board posting, a careers page or resume parsing.
- You must report on hiring for compliance.
- Hiring managers need structured scorecards and interview kits.
Is it safe to keep candidate data in monday.com?
It can be, with private boards, minimal data and a retention routine. Review monday.com’s security and data residency documentation against your privacy obligations, and keep sensitive records such as health or pay details in your HRIS.
